Admin Officer - Bangalore

Roles and Responsibilities
Office Maintenance: 1. Maintaining cleanliness in office through supervision of cleanliness and office upkeep 2. Ensuring AMCs and timely servicing for machines (intercom, vehicles, UPS, and others as required) 3. Renewal of agreements for office space 4. Ensuring payment of bills related to telephone, electricity, water, property tax, etc.
Staff: 1. Leave register for support staff – Office assistants and drivers
Maintenance and regular updating of Databases : 1. Service providers 2. Assets 3. Insurance 4. Employee contact details
Sharing information with other branches and staff 1. New initiatives taken up 2. Changes in systems and procedures 3. Collection of information from branches and disseminating (Guest house,travel etc..)
Travel: 1. Receipt of indenting for tickets for consultants 2. Ensuring that proper project codes are entered in ticket indents and approvals received from consultants/team leaders 3. Ensuring booking of tickets through approved travel agents of the Company and delivery of tickets to staff on time 4. Ensuing cancellation of tickets as per the needs to projects/ staff 5. Strictly follow the travel booking and canceling system of the Company and report any deviations to the Admin Manager
Assisting Project Manager / team leaders: 1. In preparation of letters, periodical backup of data 2. In preparation of accounts settlements forms, timesheets and consultant reports 3. In maintaining contracts, company papers, statutory papers 4. Other initiatives taken by CATALYST GROUP.
Assets: 1. Maintaining asset register (as per format of the Company) including projects 2. Reporting on utilization of assets and the need for replacements 3. Maintenance of stock of computers and other assets - Individual and Project wise 4. Maintenance of computers / laptop / printers and wifi / LAN network - through IT support team
Insurance: 1. Ensuring that insurance for the following are taken as per company’s rules, updated 2. Assets – fixed and movable 3. Staff – medical and life insurance 4. For field team (as per guidelines of the Company and the advice of the auditors) 5. Co-ordinating claims with insurance companies 6. Exploration of new policies introduced and working out feasibility for the company
Support to the projects and project managers as when requested
Workshop support: 1. Identifying and finalisation of venue 2. Coordination for printing support, organising workshop kit,food and logistics 3. Ensure all the arrangements are in places and be present during workshop
Front office: 1. Handling reception 2. Visitor management 3. Ensuring that all messages to staff and consultants are received and passed on. 4. Handling courier and postal communication – ensuring that these reach staff or clients on time 6. Tracking movement of office support staff – office assistants and drivers, and ensuring coordination of their services 7. Co-ordinating food for meetings, events
